What is QuickBooks Time?

QuickBooks Time (formerly TSheets) is a cloud-based time tracking and scheduling app that allows employees to clock in and out from the job site with the devices they’ve already got in their pockets. The vendor aims to help companies replace paper timesheets with accurate, electronic time data as well as make payroll and invoicing faster and less costly.

QuickBooks Time also accurately tracks time and GPS points (even without cell or internet service) then automatically syncs when back in service, making it a better (and cheaper) alternative to geofencing.

The Who’s Working” feature enables companies to see where employees are located and who’s working on what in real time. QuickBooks Time also features in-app scheduling that allows users to drag and drop shifts, assign jobs, see who’s working at a glance, and send alerts to managers if employees haven’t clocked in for a job or shift as scheduled.

The vendor offers free unlimited phone, email, and chat support to all customers.

We use QBTime for payroll, clocking in/out, scheduling and managing time off requests. We have been experiencing consistent issues/glitches over the years, but we remained patient due to the fact this was a new system, and we understand there can be bumps along the way when launching a new product. Unfortunately, the glitches (system automatically approving pending and denied time off requests) are still ongoing and more frequent than before with no solution in sight. It is evident that the organization does not provide enough training to their employees in order to equip them with the knowledge to successfully respond to customer inquiries and provide troubleshooting solutions. This year alone, we have had to call their technical support line approximately 20 times, and 7 times were just for the reoccurring glitch of automatically approving pending and denied time off requests, even approving time off requests for dates that have already passed. Instead of taking accountability and attempting to rectify the issue in an effort to prevent these glitches from occurring in the future, the response is second-rate, and they simply shrug their shoulders. Customer service is not a top priority for the organization, and when one is finally are able to schedule a call with a supervisor, the call back time is 48 hours. The complete lack of regard for their customers’ needs/concerns coupled with the lack of action (reaction) to resolve concerns clearly demonstrates that they do not care how their failures impact their customers’ business operations.

Quickbooks had QB Timer as a free and simple timesheet application that was easy to use by staff, managers, and accountants. Then there were T-Sheets. It was not as simple and certainly not free. Then there was Time...what a disaster. If you want to see some recent reviews since Intuit screwed everything up, check out the Goole Play reviews for this app, mostly 1 star because they can't give anything lower. Enough said.

We use TSheets within our Engineering and Product orgs to track time in relation to Government grants that reimburse for time spent on R&D projects (SRED, for example). We were auditing a couple years ago, and the auditor had us commit to detailed time tracking for future years, and TSheets filled the gap. It's easy to use, has working mobile apps people can use to clock in and out of projects, and gives the right high-level that we need to ensure people are using it and also to return with our grant claims.

TSheets will work better for its core use case, which is I think hourly billable hours. We sometimes have people context-switch many times a day and to do this within TSheets takes a lot of work, from the feedback I've received. People often forget to change, and I need to chase them down at the end of the week to fill in gaps or make fixes. It would work great if you were spending 4-8 hours a day on the same project.

We use TSheets across our entire organization. It's our primary tool for tracking how everyone is spending their time, for both billable and non-billable expenses. We can see how time is spent per client, per project, billable vs non-billable, etc. And the integration with QuickBooks adds a huge efficiency factor for our accounting purposes.
  • Tracking time: it's a fairly intuitive interface for tracking time against 1 or many projects
  • Reporting: being able to view reports for a person, or project and billable vs non-billable hours is very useful.
  • Interface: The UI isn't always super clear or easy in certain screens, it can leave you wondering which field needs correcting.
  • Making changes: It can be a bit cumbersome to make changes to submitted timesheets until you get familiar with where to do this.
It's a great tool for tracking time against projects and tracking which hours are billable vs non-billable. It helps us even track hours across different companies within our parent organization. It's well suited for a company that lives and dies on billable hours. It's also well suited for organizations with teams that need team managers to review and approve hours.

T Sheets is the timekeeping system that we use throughout our organization. All employees use it. It’s great for our needs as an event planning company, as it allows users to clock in on a computer or remotely. At each of our off-site events, a designated manager can clock employees in and out using their mobile app. Additionally, the app tracks the location of any user who uses it on their personal device, so any employee who has an offsite meeting can use it to log their time – and managers can view where the employee is when they are clocked in using the app, so we can ensure that all employees are where they say they are going to be when they clock in for a remote activity.
  • Support (their help desk team is incredibly helpful and always quick to respond).
  • Ease of access and use (the app is user-friendly an intuitive, and the desktop version is equally as approachable).
  • Manager functionality (it's useful to be able to clock employees in and out at multiple events on the same day by sorting them into different groups by manager/event).
  • GPS tracking (sometimes the GPS will drop a pin that's not particularly close to where the employee was at the time of clocking in/out).
  • Mobile efficiency (it's a bit of a battery drainer, the app - it's hard to make it through a full event without my phone completely dying).
  • Updates (I feel like the website is constantly undergoing updates that make it impossible to log in. It happens frequently enough that I've noticed it - so maybe fewer, larger updates during non-standard business hours).
  • I wish there was a way to view vacation and sick hours on T Sheets - though this may just be missing because our Controller hasn't plugged them in.
It's great for any company that has employees who work remotely. It's nice to be able to see exactly where everyone is when they're clocked in (especially when you have many different events happening at the same time on the same date). It also allows you to put in notes to each of your logs, so it's a very easy way to track which employees worked which event(s) on any given day. The back end of the website is also very user-friendly and allows for manual timekeeping by our staffing coordinator. She is able to go in after the fact and easily edit times and notes for each employee. It may not be the best program if all staff is in-house and never ventures out - I can't see a use for the mobile app portion of the program for a company that works strictly from a central office. However, if you're managing a lot of remote employees and want to make sure they're where they say they are, it's a really smart program to use.

Makes it easy for my clients to track the time and locations that their employees work out on their service routes. Easy for employees to log in and enter the locations they are working on as they go from one client to another thru out the day. Employers like it, as they can verify where their clients are using the GPS link.

  • I can't think of any areas of improvement.
For clients that are service based this is an excellent way to track employees. You want to know if employees are truly working their route in a timely fashion and not goofing off. Plus you know their daily hours. No surprises on the actual time employees work when they turn in their time sheet. You can know at any time their hours worked by just checking the app.

I wish I had this system a long time ago. This has streamlined and simplified our accounting process.

1. No more driving to pick up or hand in time sheets!
2. No more employees filling in time cards 10 minute before they are handed in.
  • Integrates so well with QuickBooks.
  • Tracks labor costs for each individual contract.
  • We use the Class feature for this. We enter contract names with the PO #s into the QuickBooks Class column, then employees are required to select a contract name when they clock in.
  • Tracks Worker' comp codes for each employee.
  • We use the Service Item feature for this. We enter each job description with the Worker's Comp codes into the Quickbooks Item column, then employees are required to select a job when they clock in.
  • This saves us huge on Worker's Comp costs as Oregon has different rates for each job.
  • I would love to have the option to share the schedules. With customers, generals, site managers, etc...
I think it would work well for any business tracking employee time.

TSheets has an ease of implementation and uses for remote time entry for employees to be integrated with Quickbooks Online.
  • Set up is via a web browser. Previous web time sheet tool was through Windows Remote Desktop.
  • Some features like "Notes" field in the Manual Time sheet was a check mark under Advanced tab...didn't seem very intuitive
I haven't worked with TSheets enough to be able to provide any information here.

We use TSheets to aid us in our payroll. We used to use paper and folders, but the guys thought that was too difficult to maintain, seeing that supervisors and managers had to collect them each payroll period. It's easy for the guys to clock in and out from their phones, but I must admit that there really isn't much control over it. It's easy for them to stay clocked in and rack up overtime and I would never know that it was unauthorized and the managers are never made aware.
  • Allows users to clock in and clock out easily.
  • Easy to download the app - self-explanatory.
  • Keeps accurate time so I know how long they've worked down to the minute.
  • There needs to be more control (i.e., the map is inconclusive at telling me where they were at and when). I have an employee that adds an hour (at least) to his time each week and I can't prove that he didn't work that additional hour because his boss wasn't aware of it.
  • Since I'm the administrator, I would like the ability to not be required to enter notes when I'm adjusting/entering time for the guys. In actuality, what's required is that I must go in a turn off the feature that says "Notes Required", otherwise it requires me to enter a note for them, even as the administrator.
  • It would be nice if this wasn't so much a web-based program. We have so many internet issues at our office that sometimes it's impossible to work on time because I simply can't get on to do anything. Is there any way that TSheets could add the option to have a downloadable program?
I think it's great for companies that have employees that aren't around time clocks and for companies that are small in size that may not want to have a physical time clock on premises. My guys work out in the field every day, so there are no time clocks which makes it easy for them to keep track of their time and easy for me to see it real-time.

I just signed up with Tsheets as a Tsheet Pro. I have clients that have just opened accounts that I will be administrating for them. I have reviewed the product and really like it. I am working on implementing it into my firm. It will be used to track employee time for payroll as well as to track billable hours to clients.
  • Very simple to use: It is easy to train employees on the system and is very flexible.
  • Cloud based: Your employees and administrator do not have to be in the office to use the software. It has mobile access as well as cloud access. You can use it from anywhere you can access internet.
  • Excellent support team: I am a new user and still learning many of the features. The support team, both on the telephone and online chat (Kelsey T) are very good, quick and supportive.
  • Links with QBO & Knowify: This is great because all the cloud software programs are syncing with eachother automatically. No more waiting for paper time sheets from employees and no more duplicate data entry. Once time sheets are approved, it's an easy sync to the appropriate other apps that are used for payroll and/or project reporting.
  • USD Pricing: I am in Canada and would like to have CAD pricing. It will make it easier to set up competitive value add pricing to my clients if I am not worrying about exchange rate fluctuations.
  • Time clock at top of screen: I can't figure out how to get it to show the correct time. Like I said, still learning.
  • Invoicing: I would like to see a copy of the invoice from the billing department at time of issue (28th of the month) instead of the time that it is charged to my credit card (3rd of the month). It will make it easier for billing clients.
Tsheets is excellent for organizations that are cloud based and have offsite employees. It integrates with QBO and other accounting app software. It would be good for any size organization. If you are a freelancer, Tsheets would be great for tracking the billable hours to clients. If the organization has a large number of employees, Tsheets would keep the time sheets well organized and prevent data entry errors.

Tsheets may not work well for organizations that are still using desktop versions of accounting software. It would still do well tracking employee time, but may get somewhat tedious at payroll time.

At TSheets, Tiffany has been invaluable and has provided excellent support. Tiffany understood my question and clearly has comprehensive product knowledge. The feature I was looking for is not currently in the product but will be soon.

TSheets is used by all employees at the company and assists us in tracking hours worked. It's easy to use and we've had little to no user-error.
  • I love the app, it has a little notification at the top of my screen so I know I'm logged in, and I can see all my stats quickly at any time. Oh, and clocking in and out on my phone is so easy!
  • Everyone's home screen is TSheets, so right when they sit down, if they're not using the app, employees clock in. Many keep the clock running on their screen so they can see how many hours they worked periodically without having to "watch the clock" - it's helped to prevent un-approved overtime.
  • I know there's PTO tracking. That feature is not currently being utilized, but we're looking into using it for 2018!
  • Many employees forget to clock in or out and I'm not sure how to get them to remember as if they are not in a certain level of position, we prefer they not use the app. I know reminders can be sent, but I think that feature maybe isn't working or they've turned it off?
  • PTO tracking isn't being used, I think the prior person may have had difficulty, or is it a separate feature?
  • The clock. I wish there was a "lunch" button instead of just in and out. We all clock out for lunch, then back in, and on the counting screen it starts over?
I think TSheets has a lot to offer if a company is looking to track hours worked based on clocking in and clocking out. They have many features that I am excited to use, but don't have enough experience with to review. For companies that just want employees to work on a code of honor, a system like this isn't necessary. But for those wishing to track hours, ensure overtime is paid for and that overtime doesn't occur "accidentally", a system like this is great, and TSheets is a great option in that category.

Our company has recently started using TSheets and we absolutely love it. We were looking for an easier way to keep track of the employees' hours because sometimes they would forget to clock in or they would just hand write their hours. With TSheets you can eliminate the time clock and the purchase of time cards. The best part is it makes everything so easy for payroll. Our company loves TSheets.
  • TSheets keeps track of when employees clock in from where they clock in and it shows you who is on the clock.
  • TSheets can be used to clock in and out from anywhere on your smartphone. For example, I normally have to run errands before or after work and with TSheets I clock in and out from anywhere as longs as I have the TSheets app on my phone.
  • TSheets basically does payroll for us. We are extremely happy with TSheets.
TSheets is perfect for keeping track of employees hours. It basically does payroll for me.

We use Tsheets in conjunction with QuickBooks Online to track timesheets and partially automate client billing. Tsheets improves efficiency and accuracy of our processes. All billable time is entered into Tsheets.
  • Well designed user interface for manual time cards.
  • Timesheet approvals workflow is useful to resolve/cleanse billing data before export to QuickBooks Online.
  • "Legacy Timesheets" feature is invaluable for our use case (we have no employees) and bill clients for services.
  • Outstanding customer support including a recent call with Sarah who kindly resolved a minor issue.
  • Our use case would benefit from improved accuracy and efficiency if default values were automatically assigned from advanced tracking fields that have only a single selection. We are making recent use of these fields and sometimes errors are introduced when field values are not captured correctly. The errors may only be associated with already entered data that we are updating since the new feature, but having to select a value every time from a pull-down-list with only a single option doesn't make sense for our use case.
Our experience with Tsheets began with and continues to be that of a group of "Freelancers" as it pertains to time tracking and client billing. I am aware of a robust feature set that Tsheets has evolved in the direction of "employee based" time tracking models. We make extensive use of the "legacy timesheet" report which is a good fit for our use case. I haven't found that the other reporting features fit well with our use case. I am also aware that new users do not have the "legacy timesheet" feature available so I'm uncertain if Tsheets may be the best choice today for the "freelancer" type use model.

All of our employees who work in the field use tsheets to see what job they should be at and for how long and when the job is expected to be done. I use it to keep track of who is on what job for how long. I also make appointments for our estimators and put them in TSheets so they don't miss meetings.
  • Most of the people on our team aren't very tech savvy but tsheets is easy for them to figure out.
  • Notifications are great. I don't have to remind anyone to clock in or out.
  • The staff is very helpful. Jen D. helped me get everything working perfectly!
  • More information fields in the jobs or availability for more advanced tracking fields.
It's great in a construction/restoration workplace because no one is ever in the same place.

Our intention is to use TSheets to keep track of our hourly subcontractor crews and to provide a way for them to properly bill us in a consistent fashion.
  • We have used time-sheet apps for a long time. They were not cloud-based and thus data would need to be exported manually to a central utility. TSheets central server model greatly reduces some of the time required as well as the opportunities for error.
  • The time-sheet apps we have used geo-located at clock-in and clock-out. TSheets tracks the whole time a member is clocked-in. This provides much added comfort in knowing what happens between clock-in and clock-out.
  • When a "manager" (subcontractor) clocks in an entire crew, he can enter a note discussing what they will be doing. At the end of the day, when he clocks them out, it would be great if he could also update the global note with what the crew actually ended up doing.
  • In our case, the subcontractor may work at more than one job during a given week and thus we would like the subcontractor to be able to generate a report showing how much they are billing us for each job and what is the total for all jobs for the week.
Front what we have seen, TSheets comes closest to delivering the value we are looking for.

We use TSheets for time tracking and payroll imports for a portion of our hourly employees. TSheets has proven to be the best option for our small company. We tried several other Apps with very limited success as TSheets provides the best employee interface which is critical if you care about getting good data. Support is phenomenal as well. I recently had a small glitch which I needed help resolving and Jen D. was there via Chat immediately to help me out and I was able to complete payroll before my coffee got cold! Thank you Jen D!

  • The export process into QuickBooks is flawless and seamless.
  • The historical records kept by TSheets are extremely helpful for project costing.
  • I'm looking forward to enhanced calendar use, integration with Google calendar would be awesome.
  • The ability to create Work Orders or Tickets and track them would complete this software as a go-to for service management.
My employees use manual entry tools a lot and so a certain amount of trust is required. We have found the "live" entry method to be difficult to keep up with as they forget to clock in and out almost every day and making corrections becomes tedious. This could be a place where some TSheets supported training could come in handy.

We implemented Tsheets for the entire company. It helps us address accurate hourly tracking for various events at multiple locations.
  • Tsheets has a very proactive support system. The ability to "chat" with a person, such as Max (Thanks again Max!!) to get immediate assistance has been invaluable.
  • Tsheets is always listening to its users to implement changes and improvement - but sometimes the changes don't work across the board. For instance, you can add the feature to round employee time to the nearest measurement (there are several options) but it then rounds everything - including breaks and switching jobs which no longer allows the employee the allocated time.
While Tsheets is quite versatile I recommend trying to find a business very similar in organization in their cases to view. We started without realizing that the nature of our business (multi departments with multiple schedules, billing and scheduling processes) meant that not all areas of TSheets would work for all of our departments. So, we are having to learn what fits where. This is both a good and bad thing as we are evaluating internally but a very messy process.

We're using Tsheets for staff to track their time against customers/jobs/classes and importing into QuickBooks for billings purposes and corporate reporting.
  • Their customer support is awesome - Amanda was most helpful.
  • Was simple to set up and implement.
  • Staff like that they don't have to carry a note book any longer to keep track of time spent on customer accounts and transfer into a timesheet system at end of day/week.
  • Like the ability to use the mobile app when on the move.
  • In the Canadian version of QuickBooks can not use the web connector drop down in QuickBooks, we have to run the connector each time from Tsheets. Seems backward.
  • Want the ability to change font size on the mobile app to be smaller so that customer jobs on the app can be seen better. They truncate and cut off part of the job. We had to be creative in our job names in QuickBooks to see them on the app.

TSheets is a great product! We want all our payroll clients to use it. One particular client relies heavily on location tracking as they have multiple locations and employees move between them. The integration with QuickBooks is very simple and effective. We are definitely recommending it as a tool to better track payroll.

I have been working diligently with the technical support team, spearheaded by Celena, to resolve very specific needs that my client has in the schedule application of the product. My client owns a larger service company where the specific needs of scheduling were requiring upwards of 40 to 50 hours of managed labor weekly. The requested ability for field staff to choose and apply their respective schedules from available shifts was not only technical in nature but required significant testing and vetting. Celena worked tirelessly with me and her team to complete a process and design to meet the needs of my client and drastically reduce the amount of managed time required to oversee and cover shifts all over state. I have had the privilege of working with many software providers ranging from CRM to accounting and have NEVER received the level of one on one care and personal attention that I did with Celena or the TSheets team. I look forward to a very long and professional relationship with the TSheets team!

  • Listening thoroughly through the question before responding to ensure they fully understand the overall scope prior to answering.
  • Have an amazing upbeat attitude. It is obvious that this atmosphere is cultivated from the top down.
  • Hold music is way to loud!!! :-) often times I would have my client on a webx conference call to address questions or concerns and while placed on hold to find additional information we could not talk to one another because of the music volume.
  • The overall management of open schedules was addressed very well with a "work around" creating "Ghost" employees and allowing field personnel management access to see and apply the schedules to themselves only. This may be such a unique feature that it would never be used by anyone else but I would like to see it coded and rolled out in future versions.
  • There is currently no way to allow managers of groups, or the above Ghost accounts, aware if the schedule has modified or dropped by an employee. It would be nice to see bi directional communication with groups not just one to one .

We have been using TSheets for our field cleaners. It has been great as it gives them the ability to clock in and out of each job during the day. They can keep track of their hours for the week and know what homes were cleaned by them during the week.
  • TSheets eliminates manual data entry for the back office.
  • TSheets syncs with Quickbooks (our accounting software) seamlessly, no redundancy.
  • Tsheets customer service is top notch! It is actually a pleasant experience to call customer support.
  • None at this time.
This is a great app for any field service business. I am sorry I waited so long to get on board with it. It has made my life and my employees' lives so much more simplified. I also spend a lot less time processing my payroll each week which is nice.
